Privacy and security
How your quote request and your document are handled, in plain terms.
Last updated:
Public documents only
This service accepts public, non-confidential PDFs only. Please do not send student records, personnel files, medical records, or anything else that is not already public. If you are unsure, email me first.
What the quote form collects
| Data | Where it goes | Who can see it |
|---|---|---|
| Your name, email, organization, document link, any optional details you type, and the time you sent them | Saved in my database at Cloudflare, then emailed to me through Google Gmail | Me; Cloudflare and Google as my providers; my AI assistant, under the rule below |
| Your browser type (its user-agent string) | Saved in my database at Cloudflare. Not emailed. | Me; Cloudflare |
| A scrambled one-way code made from your IP address, used only to limit repeated requests | Saved in my database at Cloudflare | Me; Cloudflare |
| The document at your link | The website never opens or downloads it. I review and repair documents on my own computer. | Me |
Your IP address itself is not stored in my database. Cloudflare, which delivers every page, does process IP addresses and request details to do that.
Your request is saved first. A scheduled job on my computer then emails me a notification. It runs only while my computer is awake, so the notification can be delayed, but your saved request is not affected.
Providers and analytics
Cloudflare provides this site’s hosting, DNS, database, and the network that delivers each page. Google (Gmail) carries and stores the notification email I receive for each request. Zoho Mail hosts hello@texasaccessibledocuments.com; mail sent there is kept at Zoho and forwarded to my Gmail, so if you email me a document, both hold a copy of that email.
These providers handle the details of your request. The repair work on a PDF happens on my own computer.
Cloudflare Web Analytics runs on this site to count page visits. It is operated by Cloudflare, which adds its script to pages as it delivers them. Cloudflare’s documentation says it “does not collect or use your visitors’ personal data.” This site sets no cookies of its own. When I checked on October 24, 2026, the analytics script set none either. Browsers may also send Cloudflare automatic reports when a page fails to load.
How documents are processed
The repair tools I use run on my own computer. Two of them, the text-recognition and structure tools, run with network access blocked. Working files are kept on my own computer. As of October 24, 2026, they are not synced to iCloud or any other cloud storage service.
AI tools
The illustrations on this site were generated with an AI image tool from text descriptions only, with no document content.
I use an AI assistant, Anthropic’s Claude, for parts of this business. It helped prepare the two public samples on this site: for the West Travis County PUA agenda it viewed images of the pages, and for the Cameron agenda it read the extracted text and the tag structure.
My rule for client documents: the contents of client documents are not sent to AI tools. Quote-request details (your name, email, organization, and link) can be seen by that assistant when I use it to run the business, for example while sorting email.
Keeping and deleting information
I have not yet set a fixed retention schedule. There is no automatic deletion yet: quote requests stay in my database until I delete them. If you ask by email, I will delete your quote request and my working copies of your document, confirm what was deleted, and tell you about anything I need to keep, such as invoices.
Some copies clear on a delay. My database keeps a restore history for up to 30 days. Copies in email and in my AI assistant’s session records follow those services’ settings and my backups.
